Privacy notice

The Memorat program does not send your recordings or transcripts anywhere. Transcription, speaker recognition and pseudonymisation are computed entirely on your own machine. The program creates no account, requires no sign-in and works with no internet connection. The licence key is checked locally, without asking a server. We do not receive, and cannot receive, access to the research material you process.

This notice therefore covers this website only, together with correspondence and sales. It does not cover the data you process in the program. For the research material you remain the data controller, and we are not even a processor, because that data never reaches us.

The one exception, which you switch on yourself: if you configure an external cloud AI provider in the program's Settings, the passages you ask about go to that provider, on your terms and under your contract with them. No such provider is configured by default. We do not intermediate that traffic and do not see its contents.

The controller of personal data processed in connection with this website and with sales is KANKOT spółka z ograniczoną odpowiedzialnością, al. We have not appointed a data protection officer, because none of the conditions in Article 37 GDPR applies. All data protection matters are handled by the controller at the address above.

This website uses neither Google Analytics nor any other analytics tool. It embeds no fonts, maps, videos or social network buttons. There are no tracking scripts here, we build no visitor profile, and we pass information about your visit to nobody. Every file your browser loads comes from the same server. You can verify this yourself: this page's Content-Security-Policy header forbids loading anything external, and the browser enforces it.

We store exactly one cookie, named memorat_lang. It is created only when you click a language choice yourself (PL, EN, DE), and stores only that choice, for example the value "de". Its purpose is to stop the site sending you back to the version suggested by your location on your next visit. It contains no identifier, does not allow you to be recognised, and is shared with nobody.

This is a cookie strictly necessary to provide a service explicitly requested by the user, so we do not ask for consent and show no banner. If you block cookies the site works normally: remembering your language choice simply stops working.

The server hosting this site writes standard technical logs: IP address, date and time of the request, the address requested, browser and system type. This is an inseparable part of how any web server operates.

  • Purpose: operating and securing the site, detecting abuse and faults.
  • Legal basis: Article 6(1)(f) GDPR, our legitimate interest in the service operating securely.
  • Retention: we keep no log archive of our own and do not copy logs out of the hosting provider's console. The provider makes request logs available to us only for a short window determined by the service plan in force, after which they are no longer available to us and cannot be recovered. According to the provider's public documentation that window is between one hour and 30 days depending on the plan. If you want the exact figure applicable on the date of your enquiry, write to kontakt@memorat.eu and we will give it to you together with the date on which we checked.

This website is hosted by Vercel Inc., established in the United States, which processes the data described in the previous section as a processor on our instructions, under a data processing agreement.

We say this plainly, because it goes to the heart of what we sell. Using a provider outside the European Economic Area means that the technical data described above, above all the IP address recorded in the server log, may be transferred to the United States.

The basis for that transfer is the Standard Contractual Clauses adopted by European Commission implementing decision 2021/914, incorporated into the data processing agreement, module two (controller to processor). The agreement does not rest the transfer on an adequacy decision, so the standing of the EU-US Data Privacy Framework does not matter here. The current text is publicly available at vercel.com/legal/dpa.

This limitation applies to this website only. It does not apply in any way to recordings, transcripts or research data processed in the program: those are never sent anywhere, never leave your computer, and we have no access to them and cannot have any. Visiting this site and using the program are two different acts with different consequences for data.

If you write to us about an order, a quotation, an invoice or technical support, we process the data contained in your message: name, email address, details of your institution or company, and for an order also the details needed to issue an invoice.

  • Answering the enquiry and performing the contract: Article 6(1)(b) GDPR, for as long as the matter is being handled.
  • Issuing and keeping the invoice: Article 6(1)(c) GDPR, for 5 years from the end of the tax year, under Polish accounting and tax law.
  • Licence administration, including reissuing a lost key: Article 6(1)(b) GDPR, for the duration of the licence.
  • Establishing or defending legal claims: Article 6(1)(f) GDPR, until the limitation period expires.

Providing the data is voluntary, but without invoicing details we cannot fulfil an order for an academic institution.

The address kontakt@memorat.eu is operated by an external mail provider acting as a processor on our instructions. Your message therefore passes through their infrastructure, just as it passes through that of your own mail provider.

Ordinary email is not an end-to-end encrypted channel. Do not send us recordings, transcripts or any personal data of research participants. We never need them to handle an order or to provide technical support, and if you send them by mistake we will delete them and tell you that we have.

Recipients may only be: the website's hosting provider, the email provider, the accounting office that handles our books, and, where needed, legal advisers. Each of them acts under a processing agreement or under their own statutory obligation.

We do not sell data, do not share it for marketing purposes, and use no advertising networks.

You have the right of access to your data and to a copy of it, and the rights to rectification, erasure, restriction of processing, data portability, and to object to processing based on legitimate interest.

Send your request to kontakt@memorat.eu. We answer without undue delay and at the latest within one month of receiving it.

You also have the right to lodge a complaint with a supervisory authority. Ours is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, Poland). You may also contact the supervisory authority of your habitual residence.

We take no decisions about you based solely on automated processing, and we do not profile.

If we change how we process data we will update this page and the date shown at the top of it. We do not change the rules retroactively.
